PLEASE READ CAREFULLY

REGISTRATION/ADMISSION

 

This is for the 2009 event.

 

Please read this section thoroughly

 

Note:  Registrations will be processed in the order of the envelope’s postmark.  When multiple registrations are received with the same postmark, they will be processed in random order.  If multiple registrations are received in one envelope, the sender’s will be processed first, and the remainder will be processed in the order they were placed in the envelope.

 

QUILT EXHIBITS AND MERCHANT MALL ADMISSION:

$10.00 single-day, $18.00 multi-day. You may not pre-register if you wish to attend only the exhibits/mall.  Be advised that exhibit halls are crowded and rolling carts/bags are banned from these areas.  It is also quite hazardous to a child to be in a stroller in crowded exhibit halls.  While entrance/exit issues have been addressed at all sites, they could still present hazards.  Please consider the safety of your children and yourself.  If you have mobility issues and need assistance with an entry and/or exit, do not hesitate to contact QHC or the Host Resort staff.  This facility has some access issues in regard to classrooms.

 

REGISTRATION FEE:  $20.00 for those taking classes and any other paid functions.  Registrations MUST include a class or other paid function.  Signing up for only free functions does not qualify as a registration.   Fee includes show pin, show bag, registration handling fee and multi-day entry to quilt exhibits/merchant mall for the event’s duration.  Admittance to any function without QHC name badge and appropriate function ticket or form will not be permitted.   This fee must be paid if you choose to participate in any function.  There is a $10.00 fee to replace lost registration materials.

 

WAITING LIST POLICY:  Any available class will be assigned as requested.  If your first choice is unavailable, you will be assigned your next choice in the order you indicated.  You will automatically be wait-listed for any classes you requested which are closed.  If a class becomes available before March 21, 2009, you will be contacted.  After this date, you must check with the QHC registration desk upon arrival to see if an opening exists.  If none of your choices is available, you will be wait-listed, and your check will be returned, uncashed, if you marked the proper box on the registration form indicating that you do not wish to attend the show.  Remember that it is best to list alternative choices to avoid being shut out of any classes in which you may be interested.

 

CLASS FEES:  A 3-hour class costs $30.00, a 6-hour class is $50.00.  Some classes, noted where applicable, require additional materials or kit fees which are to be paid directly to the instructor—please have the correct change.  Longarm classes are $150.00, a reflection of the higher expenses associated with producing these classes.  Every effort has been made to list all fees for class supplies in the registration information.  Please note that it is occasionally necessary to add an additional charge for a particular class due to higher costs of conducting it.  Keep this program as it contains the supply lists.  Be sure to mark a 1, 2, 3, etc., preference per day in case your first choice is filled.

 

TEA PARTY, LECTURES, LUNCHEON, FASHION SHOW AND DINNER: You MUST pre-register for these events—they are meal functions.  Seating will be made by table and seat number and will be done on a first come/first served basis.  If you have special seating requests, make them ALL at the time of initial registration and include separate registration forms for each individual concerned.  Please note that menus cannot be established until one month prior to the event.  If you have food allergies/restrictions, note them clearly on your registration form.  We will do our best to accommodate you.  Given advance notice, we can address many concerns such as allergies or vegetarian requests.

 

PAYMENT POLICY:  Use a separate form and check for each person.  Keep a copy of your form for your records.  The registration form can be copied to share.  Forms listing more than one person will not be accepted and will be returned for proper submission—you will not be called and class space will not be held.  Payment is by personal check, money order, or bank/credit card check such as those from VISA or MASTERCARD. In an effort to keep your costs as low as possible, we do not accept credit or debit cards due to the high fees incurred to process transactions for an annual event.   A $10.00 change fee will be automatically assessed for any class changes or deletions, unless our office has made an error.  Change fee does not apply at any time to additional classes/functions you chose.  Registrations must be received by March 19, 2009, to assure proper processing before the event.  If we receive your registration after March 19, 2009, the material will be held for you at the QHC registration desk.  If you fax or e-mail your registration to QHC, your check must be received in our office within 5 working days or the class space(s) will be released.  No initial registration will be accepted by telephone. 

 

CHANGE FEE:  A fee of $10.00 will be charged for any changes made after you have received your confirmation/class admission form UNLESS the change is necessary due to an error in the QHC office or you are being changed to a class for which you had been wait-listed.  Your registration form as received in the QHC office is what we use to complete your registration—any change from that will be charged.

 

CANCELLATIONS/REFUNDS: If you must cancel, you must immediately return the confirmation/class admission form and the name tag sent to you.  The original form must be received by March 19, 2009.  Upon receipt of your confirmation and name tag, refunds will be made on-site or up to 30 days after the event.  Cancellations received prior to March 19, 2009, will be refunded only if the class space is sold or cancellation insurance was purchased at the time of registration.  No cancellation can be accepted after March 18, 2009, nor on-site, with or without cancellation insurance as funds are totally committed.  In all cases, the registration fee is non-refundable unless QHC cannot supply any of your requested classes.  If any of your choices are available and you choose to cancel, the registration fee is forfeited.  Your registration implies policy agreement.  Decision of show management and its agents must be accepted in any dispute or any situation not covered by this registration/admission information or form or in the interpretation of the information contained herein.

 

POLICY CHANGE REGARDING REFUND CHECKS:  Please note that ALL refund checks will expire 60 days after the show closes.  This date will be Thursday, June 4, 2009.  This means that if you receive a refund check from QHC, you MUST cash it with 60 days of the show’s closing on April 5, 2009.  Checks held longer will not be honored NOR re-issued.  Your registration implies agreement with this policy.

 

Cancellation Insurance:  A fee of only $5.00 will guarantee your refund (less the registration fee) if made prior to March 18, 2009, should you need to cancel for reasons of illness, family crisis, jury duty, employment situation, war, or act of God.  The cancellation process must be followed as outlined above.

 

BAD CHECK POLICY:  A $25.00 fee will be charged for any returned check.  You will be notified and will have 5 business days to replace the amount of the check (plus the $25.00 fee) with a money order or you will lose your class places.

 

TRANSPORTATION:  Commercial flights are available directly into Harrisburg and Philadelphia to reach Lancaster.

SMOKING/NON-SMOKING POLICY:  For the comfort of the speakers and the majority of participants, smoking will be restricted.  We ask that you do not smoke in any of the exhibit/merchant areas or during workshops, lectures, and special functions.

 

PHOTOGRAPHY:  Photography is NOT permitted of the Quilt National 2007 Exhibit.  This rule will be strictly enforced.  No photography is permitted of vendor booths unless permission is requested on-site from the vendor.

 

GROUP REGISTRATION PROCEDURES:

If you wish to attend the event as a group (defined as 15 or more people), you should choose to pre-register. 

 

Prepayment MUST be made for anything other than admission-only, including the option for group members to pay the registration fee and receive multi-day admission, pin and tote and/or attend a meal function.  Groups MUST pre-register to take advantage of these benefits.  It is no longer possible to deal with groups on-site who have not pre-registered, they will have to go throught the on-site admission lines. 

 

Confirmation form must be shown to receive admission bands on-site.  You must check-in for group to receive the bands and have them applied to their wrists.  A QHC Group Contact staff member will board your bus and help you with this process.  At that time, show programs and any other items such as show pins or bags which your group has chosen to pre-purchase will be distributed. 

 

Anyone attending classes must register as an individual—this cannot be handled via a group process. 

 

Group registrations must be received by March 18, 2009.  Regarding discounts, please note that each group will receive one complimentary pass each for the group leader and the driver.  These complimentary passes are only exhibit admission (of the type purchased)—no other functions are complimentary.  This is the group discount.

When your group pre-registers and we process your form,  you will be sent a confirmation letter with directions on discharging your passengers and on parking your coach.

 

 

 

FUTURE MAILING:  Mailings are automatically made to those who have registered for any QHC function over the last 20 years and to those who have requested placement on the mailing list.  Please advise our office of duplicates, misspellings, address corrections, etc., so that we can correct the database.  We make every effort to maintain a current database, but we cannot remedy what we don’t know is wrong.  If you wish to receive the registration packet by first class mail, send $2.00 with your request at any time during the year.  Your request will be filed and the packet will be mailed when it is prepared.  PLEASE NOTE: Out-of-country guests must request a new mailing each year using any of our contact modes.

LANCASTER HOST RESORT AND CONFERENCE CENTER.  2300  Lincoln Highway East, Lancaster, PA  17602,  (717) 299-5500 - (800) 233-0121 (www.lancasterhost.com)  for reservations - prices per room per night (2-night minimum stay):  Single $119, Double $119, Triple $139, Quad $139. Rollaway bed fee is $15 per day. The occupancy tax for Lancaster County is 11% of the listed fee per day. There is a 48-hour cancellation policy and a 1-night deposit charged upon making the reservation.  This is our host hotel and most of the conference events will be held here, including three exhibit halls/merchant malls, awards reception, lectures, fashion show/luncheon, show and tell, and most classes.  The Lancaster Host offers on-site restaurants, indoor swimming pool, walking trail, golf course…a full service resort.  Blocked rooms are limited, so get your reservations in early.

 

Be sure to make your housing arrangements early to insure that you receive the conference rates listed.  If you call the hotel listed to make your reservation, be sure to identify yourself as a QHC attendee to receive the rates listed.  Rates quoted are per room/per day and are subject to an 11% state sales tax.  Be sure to call or mail directly to the Lancaster Host Resort.  Use the housing form included in this booklet.
